SUBJECT:  Xerox Lease for Copy Machines

RECOMMENDED ACTION:

(1)     Accept the Lease Agreement (48) Months with Xerox for new copiers/printers for Finance/Utility Billing, HR/Administration, Deputy Clerk and Planning/Public Services Departments.  (2)  Authorize the City Manager to sign the Lease Agreement with Xerox for copiers/printers for the City of Alachua.

 

Summary

The Leases for four (4) of the City’s copy machines have expired during the current fiscal year.  These leased copiers serve all departments within City Hall.  The Finance Department investigated the current costs associated with leasing copiers under State of Florida Contract #600-000-11-1.  Quotes for leasing the copiers were received from Xerox, Dex Imaging and B&B Office Systems.  Comparisons were made among the three companies based on monthly lease payments and print charges for both black/white and color prints.

Xerox provided the lowest quote for monthly lease payments for four (4) copiers (three (3) Model # W7845PT @$205.72) and (one (1) Model # W7855PT @$252.49) totaling $869.65 monthly with print charges in accordance with State Contract Pricing.  This is a significant reduction from current costs.  The current annual lease cost for existing copiers is $21,828.84 (plus print charges).  The recommended new annual lease cost is $10,435.80 (plus print charges) creating cost savings of $11,393.04 annually with the term of the lease for a period of four (4) years. Additionally, taking advantage of this State Contract Pricing will create additional savings through reduced print charges.
